Program Lead (Board of Directors)

Role Description

Are you passionate about providing quality recreational programming to your community? 


We're seeking enthusiastic individuals to oversee the development and coordination of all recreation programs offered by the Stanley Park Community Association. 


Duties and Responsibilities: 

  • - Through good communication, provide leadership for SPCA coordinators for all recreational programs
  • - Annually determine the timeline for the coming year with City staff
  • - In May, attend Instructor Wage meeting (led by Program Manager) to provide input
  • - Meet and review new proposed programs
  •            -  Fall session          April
  •            - Winter session    June / Due Sept 3
  •            - Spring session    October
  •            - Summer session  February
  • - Prepare calendar (which includes - session start & end dates, meetings, etc.) and make necessary changes to procedure book
  • - Provide input for Orientation meetings to be held between coordinators and instructors 
  • - After each Registration, work with coordinators and President to:
  • - Cancel classes with insufficient enrolment, ensuring instructors and participants are informed and refunds are properly issued
  • - Increase class numbers and work closely with the Program Manager to recruit additional staff
  • - Work with the Newsletter Coordinator each session to proof draft copy
  • - Instruct coordinators to phone all of their instructors after each session to make sure they are returning, they know when their classes start, and any pertinent program information
  • - Instruct City staff to contact coordinators to deal with instructor/participant issues as they arise and ensure you are copied on all correspondence
  • - If needed, assist coordinators with problems arising from programs
  • - Arrange and chair Programming meetings (6/year) with coordinators
  •        - a couple of weeks after classes start and before Newsletter submission dates
  • - Advise the Program Manager of which programs need new instructors and assistant so they can recruit and hire, if needed
  • - Advise the Publicity Lead / Coordinator if advertising is needed for new programs or programs with low registration numbers
  • - Confer with City staff regarding bookings for meetings and any programs run off location
  • - Prepare a report for each Board meeting
  • - Prepare program budgets and monitor monthly variances
  • - Bring any requests for larger expenses, supplies, or equipment to the SPCA board for a vote
  • - Submit receipts to the Treasurer for reimbursement
  • - Arrange for participant evaluations of SPCA programs and make staffing decisions based on this information
  • - Annually, arrange for instructors to fill out program evaluation form and make decisions based on this information
  • - Provide ongoing training to program coordinators/assistants to ensure volunteer becomes knowledgeable about Program Lead responsibilities as well as their own
  • - It is your responsibility as outgoing Program Lead to orient the new volunteer to your duties. Outgoing Program Lead to orient the new Program Lead of your duties and responsibilities. 


Qualifications:

  • - Mandatory attendance at monthly Board meetings and program meetings throughout the year
  • - Experience in volunteer or employee supervision an asset
  • - Experience in administration procedures an asset
  • - Experience in athletics or recreation programming an asset
  • - A desire to serve the community is an important function
  • - A team player and leader, willing to take responsibility and lead a team of volunteers
  • - Excellent organizational and communication skills
